Google is making significant upgrades to Workspace, its comprehensive suite of cloud-based productivity tools, by introducing a range of new AI capabilities. Among the key features is Workspace Flows, a powerful tool designed to automate complex, multi-step processes. This includes tasks like updating spreadsheets and retrieving information from documents, streamlining workflows for users.
Workspace Flows can utilize Gems, which are Google’s custom, AI-powered chatbots, to manage specialized tasks efficiently. Additionally, this innovative tool integrates seamlessly with applications such as Google Drive, enabling users to access and retrieve vital data effortlessly. As Yulie Kwon Kim, VP of Product for Google Workspace, explained in a blog post shared with TechCrunch, “Simply describe what you need in plain language, and Workspace Flows will design and build sophisticated, logic-driven flows.” This user-friendly approach marks a significant step towards making Google Workspace an AI-first experience.
Google is also collaborating with various partners to enhance Workspace Flows further. This integration will allow the tool to connect with other third-party applications that users rely on, thereby expanding its functionality beyond the core Workspace suite. The introduction of these new features follows Google's initial rollout of generative AI functionalities in Workspace back in March 2023. While the company has removed additional fees for certain AI features, it has also adjusted the pricing of Workspace plans to reflect these upgrades.
In addition to Workspace Flows, users can expect noteworthy updates in Google Docs and Google Sheets. For instance, Google Docs will soon introduce a feature allowing users to convert drafts into podcast-style overviews, similar to the NotebookLM’s Audio Overviews. Another upcoming feature, “Help me refine,” will provide suggestions to strengthen arguments, enhance structure, and improve clarity in written content.
Meanwhile, in Google Sheets, a new tool named “Help me analyze” will be available later this year. This feature aims to assist users by spotlighting trends, providing analytical guidance, and facilitating the creation of interactive charts, making data management even more intuitive.
On the video conferencing front, Google Meet will introduce a feature called “Take notes for me,” which can summarize and recap specific topics discussed during video calls. This feature aims to enhance meeting productivity and ensure that important points are captured accurately.
Additionally, users of Google Chat will soon have the ability to summon Google’s Gemini chatbot by simply typing “@gemini” in any conversation, making it easier to access AI assistance during discussions.
Google is also enhancing its video creation capabilities with Google Vids, its AI-powered video creation app. The app will soon leverage Google’s Veo 2 model to generate video clips, offering users new tools for creating dynamic video content for work.
Lastly, Google is introducing new data residency controls, which will allow customers to manage where their data is processed. This feature is particularly significant for organizations needing to comply with regulations such as the EU’s GDPR, ensuring that data handling practices meet legal requirements.
